1. Introduction

This Privacy Policy explains how personal information is handled by Vanessa EDFTGH, the developer and operator of the services described on this website, and by the company that employs that developer, VANESSA EDFTGH LLC, 513 S Post St, Salt Lake City - 84104-1346, United States (US). The company runs a media clipping and monitoring desk for computer systems design and related professional services organizations, and it takes the handling of personal information seriously because the work involves reading what other people and other organizations have published.

We have written this policy in plain English so that a reader can understand what we collect, why we collect it, how long we keep it and what choices are available. The policy applies to this website and to the professional services delivered by the company. It does not apply to any third party website that we link to, and it does not govern the internal privacy practices of our clients.

By using this website or engaging the company for monitoring services, you acknowledge that you have read this policy. If you do not agree with the practices described here, please do not use the website and do not submit information to us. You may still contact us with questions so that we can clarify anything that is unclear.

2. Scope of This Policy

This policy covers personal information that we collect through this website, through email and telephone contact, through the intake conversations that precede an engagement, and through the delivery of monitoring services. It also covers information about individuals that appears inside the published material we monitor, because that material sometimes names people such as executives, engineers, spokespeople and reporters.

The policy does not cover information that our clients collect in their own systems, information collected by analytics providers on their own behalf, or information that a broadcaster or publication collects about its own audience. Those organizations publish their own policies, and readers should consult them directly.

Where a client provides us with instructions in a written services agreement, those instructions may add to or refine the practices described here. If a written agreement conflicts with this policy, the written agreement controls for the material it covers.

3. Who We Are

VANESSA EDFTGH LLC is a limited liability company organized in the United States, with its office at 513 S Post St, Salt Lake City - 84104-1346, United States (US). The company is the controller of the personal information described in this policy, which means the company decides why and how that information is processed.

The developer responsible for the technical operation of this website and the monitoring systems is Vanessa EDFTGH. Enquiries about privacy can be addressed to the company at the postal address above, by email at media@vanessaedftgh.buzz, or by telephone at +19862623130.

The company has not appointed a statutory data protection officer, because the scale and nature of the processing do not require one. Privacy questions are handled directly by the developer and the desk lead, who together review every formal request.

4. Information We Collect

We collect a limited set of information, and we try to collect only what is needed for a stated purpose. The categories are listed below.

Contact and business information

When you send a message through the contact form, by email or by telephone, we receive your name, your email address, your organization name, your telephone number if you provide one, and the content of your message. If an engagement begins, we also collect billing details, the names of team members who will read the briefs, and the delivery preferences of those team members.

Engagement information

During an engagement we hold the watch list strings you supply, the regions and languages you ask us to cover, the decisions the record must support, and any notes from review meetings. This material may contain personal names of executives or spokespeople, and we treat it as confidential business information.

Technical information

When you visit this website, our server records standard technical information such as the requested page, the date and time of the request, the referring page, the browser type and the network address from which the request arrived. We use this information to keep the site available and to diagnose faults. We do not use it to build advertising profiles.

Payment information

Payments are handled by a regulated payment processor. We receive confirmation that a payment was made and the last four digits of a card or the reference number of a transfer, but we do not receive or store full card numbers.

5. How We Collect Information

Most information reaches us directly from you. You provide it when you complete the contact form, when you reply to an email, when you speak with the desk by telephone, and when you send documents during an engagement. We also create records as the work proceeds, for example when we log a review meeting or note a change to a watch list.

A smaller amount of information arrives automatically through the web server, as described in the technical section above. If you reach the website through a link in an email or a social platform, the operator of that platform may record the referral on its own systems under its own policy, which we do not control.

We do not buy contact lists, and we do not acquire personal information from data brokers. If a third party proposes to share contact details with us, we ask that person to confirm that the individuals involved expect to hear from us before any message is sent.

6. Clipping and Monitoring Data

The core of our work is the collection and organization of published coverage. A clip record typically contains the publication name, the headline, the date of publication, a transcript excerpt, a screenshot record, a note on tone and context, and the names of any individuals quoted or named in the piece. This material is collected from public sources, and it is held so that a client can understand how it has been described in public over time.

Because clip records often name individuals who are not our clients, we apply a deliberate restraint. We keep the excerpt needed to establish what was said, not the entire article where a short excerpt will do. We avoid collecting personal contact details that appear incidentally in a piece, such as a reporter email address, unless the client specifically needs that detail for a correction request. We do not use clip records to build profiles of private individuals for marketing purposes.

If you are named in a clip record and you believe the record is inaccurate or should not be held, you may write to media@vanessaedftgh.buzz with the archive identifier and an explanation. We will review the request, correct factual errors where the source material supports the correction, and remove the record where we have no continuing need or legal basis to hold it.

7. Published Sources and Public Records

Monitoring work relies on material that has already been made public by a publication, a broadcaster, a company or a public body. Public availability does not remove every privacy obligation, so we treat public material with the same care as material we receive directly. We record the source of every item, and we do not present material as if it were private information obtained from an insider.

Public records such as procurement notices, corporate filings and professional registrations are used only to establish facts relevant to a client record, such as the existence of a contract or the registration of a trading name. We do not assemble public record material into profiles of individuals beyond what the client record requires.

Where a publication removes a story or issues a correction, our archive notes the change instead of silently overwriting the earlier record. This preserves an accurate history of what was published, and it allows a client to understand why a brief said one thing on Monday and another on Friday.

8. Legal Bases for Processing

Where data protection law requires a legal basis, we rely on the following grounds. We rely on contract where processing is necessary to deliver services a client has engaged us to provide. We rely on legitimate interests where processing supports the safe operation of our business, the maintenance of an accurate monitoring archive for clients, and the security of our systems, provided those interests are not overridden by the rights of the individuals concerned.

We rely on consent where the law requires it, for example when we wish to send a newsletter to a person who is not an existing client. Consent can be withdrawn at any time, and withdrawal does not affect the lawfulness of processing that happened before the withdrawal.

We rely on legal obligation where we must keep records for tax, accounting or regulatory purposes. We rely on the establishment, exercise or defense of legal claims where a dispute requires us to preserve material that would otherwise be deleted.

9. How We Use Information

We use contact information to reply to enquiries, to prepare proposals, to deliver briefs and digests, to issue invoices and to provide support during an engagement. We use engagement information to run the watch lists, to produce the archive and to conduct the monthly review that keeps the record aligned with the original plan.

We use technical information to keep the website available, to detect abusive traffic and to diagnose failures. We may use aggregated statistics about site usage to decide which pages need improvement, but those statistics do not identify individual visitors.

We do not sell personal information. We do not share contact details with advertising networks. We do not use the content of an intake conversation to approach a competitor of the organization that provided it.

10. Disclosure and Sharing

We disclose personal information only in the limited circumstances described here. We may share information with service providers who perform functions on our behalf, as described in the next section. We may disclose information where required by law, subpoena or a lawful order from a court or regulator, and where we believe in good faith that disclosure is necessary to protect the rights, property or safety of the company, a client or another person.

If the company is involved in a merger, acquisition or transfer of assets, information may be transferred as part of that transaction. In that event the recipient will be bound by this policy for the information it receives, until a new policy is published.

We do not disclose the identity of a client to a publication, a broadcaster or a third party without written permission, unless a legal obligation requires it. The discretion of the desk is part of the service.

11. Service Providers

We use a small number of specialist providers to operate the business. These include a hosting provider that keeps this website online, a payment processor that handles card and transfer payments, an email provider that delivers and receives correspondence, and an accounting service that maintains financial records. Each provider receives only the information needed to perform its function.

Providers are engaged under written terms that require confidentiality, security and use of the information only for the agreed purpose. We review those terms when a provider changes its subcontractors or its data locations. Where a provider is located outside the United States, the transfer is described in the next section.

We do not permit a service provider to use our client information for its own marketing, and we do not permit a provider to combine our data with data from other customers to build a profile of our clients.

12. International Transfers

The company is based in the United States, and most processing takes place on systems located in the United States. Some service providers operate infrastructure in other countries, and some clients are located outside the United States. Where personal information moves across a border, we take steps to ensure that it receives an appropriate level of protection.

Those steps may include contractual clauses approved for the purpose, an assessment of the legal environment in the destination country, and technical measures such as encryption in transit and at rest. We keep a record of the transfers we make and the safeguards that apply to each one.

If you would like more detail about a specific transfer, write to media@vanessaedftgh.buzz and describe the engagement or the information concerned. We will explain the safeguard that applies, subject to any confidentiality obligation owed to another person.

13. Retention and Deletion

We keep information only as long as we need it. Contact enquiries that do not become engagements are deleted within twelve months, unless the enquirer asks to be kept on a list of contacts. Engagement records are kept for the duration of the engagement and for the period required by the written agreement, after which they are returned to the client and deleted from our working systems.

Financial records are kept for the period required by tax and accounting law, which is currently seven years in the United States. Those records contain invoice details but not the content of a monitoring archive.

Backup copies follow a rolling schedule, so a deletion may take a short additional period to propagate through every backup. Once the rolling period ends, the backup is overwritten and the information is no longer recoverable. When a client requests early deletion, we explain the backup timing so that the expectation is clear.

14. Security Measures

We protect information with a combination of technical and organizational measures. Access to the archive is limited to the desk members who need it, protected by individual accounts and multi factor authentication. Data is encrypted in transit and at rest, and the systems we use are updated on a documented schedule.

Organizationally, we keep a short list of authorized persons, we require confidentiality undertakings from every person who can see client material, and we review access rights when a role changes or a person leaves. We test our backup restoration process so that a recovery does not depend on an untried assumption.

No system is entirely free of risk. If a security incident affects personal information, we will investigate promptly, notify affected clients and individuals where the law requires it, and describe the incident and the remedy in plain English. We will not describe an incident in a way that conceals its scope.

15. Cookies and Local Storage

This website is deliberately simple. It does not set advertising cookies, it does not embed tracking pixels, and it does not load third party scripts for marketing. The site may use a small amount of local storage in your browser to remember a display preference such as whether the navigation is open on a narrow screen. That information stays on your device and is not sent to us.

If we introduce a cookie for a functional purpose in the future, we will describe it in this policy and will ask for consent where the law requires consent. You can clear cookies and local storage at any time through your browser settings, and the site will continue to work.

Some browsers send a do not track signal. Because we do not track visitors across sites, the signal has no practical effect on this website, but we respect it as a statement of preference.

16. Analytics and Server Logs

Server logs record the technical details needed to keep the site running. Logs are retained for a short period, typically thirty days, and are then deleted or aggregated. Access to logs is limited to the person who administers the server, and logs are not used to identify individual visitors unless an incident requires investigation.

If we use a privacy respecting analytics tool to count page views, it will be configured to avoid storing full network addresses and to avoid cross site tracking. The resulting reports describe aggregate traffic, for example the number of visits to the services page in a month, and do not identify a person.

We do not combine server log information with engagement records. A visit to this website is not linked to a monitoring archive unless the visitor identifies themselves by sending a message.

17. Your Privacy Rights

Depending on where you live, you may have the right to know whether we hold personal information about you, to receive a copy of that information, to have inaccurate information corrected, to have information deleted, to restrict or object to certain processing, and to receive information in a portable format. You may also have the right to withdraw consent where processing is based on consent.

To exercise a right, write to media@vanessaedftgh.buzz or send a letter to VANESSA EDFTGH LLC, 513 S Post St, Salt Lake City - 84104-1346, United States (US). Please describe the information you are asking about and the right you wish to exercise. We will acknowledge the request within ten business days and will complete it within the period required by applicable law, usually thirty days.

We may need to verify your identity before acting on a request, particularly where the request concerns sensitive information or the deletion of archive material. Verification will be proportionate, and we will not ask for more than is needed to protect the record. If we cannot comply with a request in full, we will explain the reason and the remedy available to you.

You will not be charged for a reasonable request, and you will not be treated differently for exercising a right.

18. California and State Privacy Notices

Residents of California and of other states with comprehensive privacy laws have specific rights. In the twelve months before the date of this policy, the company has collected the categories described in section four, namely identifiers such as name and email address, commercial information such as engagement details, internet activity such as server log entries, and professional information such as job title and organization.

The company has not sold personal information and has not shared personal information for cross context behavioral advertising. The company does not knowingly collect or sell the personal information of consumers under sixteen years of age. The purposes of collection are the business purposes described in section nine, and the categories of recipients are the service providers described in section eleven.

California residents may request access, deletion, correction and portability, and may designate an authorized agent to make a request on their behalf. Requests can be sent to media@vanessaedftgh.buzz. We will confirm receipt and will respond within the period required by law. If a request is refused, we will explain the basis for the refusal and how to appeal.

We do not discriminate against a person for exercising a privacy right. We do not offer financial incentives in exchange for personal information.

19. Privacy for Children

This website and these services are intended for organizations and for adults acting in a professional capacity. They are not directed to children, and the company does not knowingly collect personal information from a child under thirteen years of age. If a clip record happens to mention a minor in a published story, we keep only the excerpt necessary to establish what was published and we do not add further detail.

If a parent or guardian believes that a child has provided personal information to the company, that person should write to media@vanessaedftgh.buzz. We will investigate promptly and will delete the information where it was collected without appropriate consent.

Where a client asks us to monitor coverage that concerns young people, we discuss the sensitivity at intake and agree additional handling rules before the work begins.

20. Email and Communications Preferences

We send service messages to clients as part of an engagement, for example a notice that a brief has been delivered or that a watch list has changed. These messages are necessary for the service and are not marketing.

We send occasional updates about the desk only to persons who have asked for them. Every such message includes a way to stop receiving them, and a request to stop is honored promptly. You can also ask to be removed by writing to media@vanessaedftgh.buzz or by calling +19862623130.

We do not add a person to an update list because that person attended a meeting or downloaded a document. Consent is asked for separately and is recorded.

21. Automated Tools and Human Review

Monitoring uses software to search, de-duplicate and highlight candidate items, because reading every source by hand would be slow and inconsistent. The software is a filter, not a decision maker. Every item that enters a brief or a digest is read by a person who confirms the source, checks the context and writes the framing note.

We do not make decisions with legal or similarly significant effects about individuals through automated processing alone. If a client asks us to use an automated tool in a way that would affect an individual, we review the request, explain the limits and require human confirmation of any resulting action.

Where we use a third party tool that processes text, we confirm that the tool does not retain our material for training purposes without permission, and we prefer tools that can be configured for retention limits.

22. Third Party Links

This website and our digests contain links to publications, broadcasters and other third party sites. Those sites operate under their own privacy policies, and we do not control what they collect or how they use it. A link from us is not an endorsement of the practices of the destination site.

When you follow a link, we encourage you to read the privacy notice of the destination before providing any personal information. If a destination site asks for information that seems unrelated to the content you expected, close the page and report the link to us at media@vanessaedftgh.buzz.

23. Changes to This Policy

We review this policy at least once a year, and we revise it when our practices or the law change. The effective date at the top of the page shows when the current version took effect. If a change is material, we will notify clients by email before the change takes effect and will describe what is different.

Earlier versions are kept so that a person can understand what applied at a given time. To request an earlier version, write to media@vanessaedftgh.buzz and state the period you are interested in.

Continued use of the website after a revised policy takes effect means that the revised policy applies to information collected from that point forward.

24. Complaints and Supervisory Authorities

If you are unhappy with how we have handled personal information, please contact us first so that we have a chance to put things right. We treat every complaint as a formal record, we investigate within ten business days, and we reply in writing with our findings and any remedy.

If you live in a jurisdiction that provides for a supervisory authority, you may also complain to that authority. In the United States, state attorneys general and state privacy agencies accept complaints under the privacy laws of their states. We will cooperate with a lawful investigation.

Nothing in this section limits a right you have under applicable law to seek a judicial remedy.

25. How to Contact Us

For any question about this policy, or to exercise a privacy right, contact VANESSA EDFTGH LLC at 513 S Post St, Salt Lake City - 84104-1346, United States (US). We will acknowledge every privacy request and will keep you informed of progress until the matter is resolved. If a request requires more time, we will explain why and give a new date.
